Privacy Policy

EveryPlayer ("we", "us") is committed to protecting the privacy of coaches, clubs, players and parents who use our platform. This policy explains what personal data we collect, how we use it, and the rights you have under UK GDPR and the Data Protection Act 2018.

1. Who we are

Every Player (trading as "EveryPlayer", "we", "us") is the data processor for player records entered by clubs and coaches, and the data controller for account information you provide directly (name, email, password). We are registered with the UK Information Commissioner's Office (ICO) under registration number ZC179013. Contact: hello@everyplayer.app.

2. Data we collect

• Account information: name, email, role, password (hashed).
• Club information: club name, badge, colours, team and coach details.
• Player information: name, date of birth, position, age group, photo, assessment scores, development plans, coaching notes, attendance records.
• Parent information: name, email and the link to their child's profile.
• Usage data: device, browser, IP address and service logs that help us operate and secure the Service.

3. How we use your data

• To provide the Service, accounts, assessments, plans, attendance and sharing.
• To send essential service emails (invites, password resets, plan notifications).
• To improve the platform and fix bugs.
• To comply with legal obligations.

We do not sell your data. We do not run advertising in the app.

4. Children's data

Player records often relate to children under 18. Clubs and coaches must confirm parental consent before adding a child. Parents may request access, correction or deletion of their child's data at any time by emailing hello@everyplayer.app or by asking their coach.

5. Sharing your data

Within your club or team, player records are visible to the head coach of that team and to any club admin. The head coach may appoint an assistant coach, who can then also view and update player records for that team, under the same responsibilities and safeguarding obligations as the head coach. Parents and players are notified in-app when an assistant coach joins their team.

We share data only with the trusted service providers and subprocessors required to run the Service:

• Hosting, database and email delivery infrastructure.
• Paddle.com, our Merchant of Record, for sale of subscriptions, subscription management, payments, tax compliance and invoicing.
• Professional advisers (legal, accounting) where required.
• Authorities where required by law.

We do not share data with third parties for marketing.

6. Cookies and similar technologies

We use cookies and browser storage only where they are strictly necessary to provide the Service. This includes keeping you signed in, remembering your UI preferences (such as dashboard filters and sidebar state), storing draft work locally (such as assessment drafts) while you are offline, and detecting whether you are using the web or native app shell.

We do not use analytics, advertising, social-media or third-party tracking cookies. If we add non-essential tracking in the future, we will ask for your consent before those cookies or scripts are loaded, and we will give you a clear way to manage or withdraw that consent.

7. Data retention

We retain account and player data for as long as your account is active. After cancellation, data is retained for 90 days before permanent deletion, giving you time to export anything you need.

8. Your rights

You have the right to access, correct, export or delete your personal data. To exercise these rights, go to More → Your Data, or email hello@everyplayer.app.

9. Security

We use industry-standard encryption in transit and at rest, role-based access control, and regular security reviews. No system is perfect, if you suspect a breach, contact us immediately.

10. Changes

We may update this policy. Material changes will be notified by email or in-app message.
